Approval sequence

  1. Receive and identify the sample before testing or modification.
  2. Record deviations from the requested configuration.
  3. Complete functional, performance and documentation review.
  4. Resolve or formally list every open item.
  5. Sign the approval record and seal a retained reference sample.
  6. Reference the approved record in the purchase order and inspection plan.

Change-control rule

Define which changes require notice, evidence review, a new sample or full reapproval. Component availability does not by itself authorize substitution. Final production conformity must be checked against the controlled records, not memory or appearance alone.

Approval ownership

Name the buyer and supplier representatives authorized to sign, the decision date and any open condition. Distribute the controlled record to purchasing, engineering, quality and packaging teams so every release decision uses the same revision.
